Water Damage Documentation Checklist for Insurance Conversations

A practical documentation checklist for South Florida homeowners preparing to explain a water damage event clearly.

Water damage is stressful enough without trying to remember every detail later. Whether the issue started from a burst pipe, appliance leak, roof leak, AC overflow, or storm intrusion, good documentation can help homeowners explain what happened more clearly.

Start by photographing the source if it is safe to do so. Capture wide photos of each affected room, close-up photos of water lines or stains, and images of flooring, walls, ceilings, cabinets, furniture, and baseboards. Short videos can also help show active dripping or spreading water.

Write down the timeline. Note when you first noticed the water, whether the source was shut off, who was contacted, and what steps were taken. If the home is a condo, townhouse, rental, or seasonal property, note who had access and when.

Keep damaged materials, invoices, inspection notes, and communication records organized. Do not throw away important items before you understand what documentation may be needed.
